  • Where did we leave money on the table last quarter?
  • What's my actual cost to acquire a customer this month?
  • Who hasn't paid an invoice over 60 days?

Ops manager

The 40 context-switches a day. The client who called three times and the tech who doesn't know yet.

  • What's happening with every job scheduled this week?
  • Which jobs had more than one callback, and who were the techs?
  • Which properties have maintenance agreements overdue?
  • Who has an open quote that's aged past 21 days?
  • What did we promise this client, and have we delivered?
  • Which techs are assigned to jobs at two different properties tomorrow?

Dispatcher

Half the day is routing. The other half is remembering what was said on the last visit.

  • Show me every call from Canyon Ridge in the last 30 days.
  • What equipment is at 4912 Oak Lane?
  • Who was the last tech on site at Harrison Custom Homes?
  • Which jobs are within 10 miles of where Tom is finishing right now?
  • Which estimates are waiting on a measurement the tech said he'd send?
  • What did the customer complain about last visit?

Estimator

The quote is half about the job and half about the relationship history. Both live in different tools.

  • What did we quote this client in the last 2 years?
  • What was the close rate on my estimates over $10k last quarter?
  • Which of my pending estimates hasn't been looked at in 14 days?
  • Show the full history with this client before I write the scope.
  • Which estimates did we win at margin and which did we win on price?
  • What does the last email thread with this client actually say?

Marketing

The spreadsheet you stopped updating. The attribution you stopped trying to figure out.

  • Which ad spend turned into jobs, not just leads?
  • Which source has the shortest time from lead to paid invoice?
  • What's the average ticket by lead source?
  • Which Google Business Profile photos correlate with booked jobs?
  • Which neighborhoods sent the most repeat work last year?
  • What's the cost per booked job on Meta in the last 90 days?

Accounting / Bookkeeping

Cash flow is a question you live with. Knowing the answer shouldn't cost a half-day of reconciliation.

  • How much cash is tied up in unpaid invoices right now?
  • Which invoices over $5k were paid more than 45 days late last year?
  • Which jobs had a quote that matched what we billed?
  • What's my AR aging by client?
